Installing an Update for the School Accounting System

(Not applicable for School Accounting System-Online version users)

Note:  An alert stating "Update available" will appear on the main School Accounting System screen under the Alerts section if an update for a newer version of the School Accounting System is available; also, a prompt will appear for supervisors and database administrators when logging in if a newer version is available.  Only those users set up as a supervisor or a database administrator are able to install an update.

Important:  Be sure to have all users logged out of the School Accounting System (and the Web Link module, if applicable) prior to installing the update.  If your school district has the Web Link module, edit the Web Link Setup Options from within the School Accounting System in order to disconnect users currently logged into Web Link and/or prevent users from logging into Web Link while installing the update (see Steps 1, 2, 2e, 2f, 2g, and 3 for Completing Web Link Setup Options).

  1. Exit all programs except the School Accounting System, including email programs and tape-backup software.  If needed, temporarily disable your anti-virus shield if running an anti-virus software.

Note:  Questions on disabling an anti-virus shield should be directed to your technician or the anti-virus software documentation.

  1. Click the alert stating "Update available" under the Alerts section on the main School Accounting System screen, or click the Download and Install Update Now button if prompted that an update is available when logging in.

  2. The Check for Updates screen will appear listing the most recent update available after the version you currently have installed.

Note:  If your computer (or server, if applicable) is set to an incorrect date or time, an error message will appear instead of the Check for Updates screen; click OK.  Then verify and change the date and time on your computer (or server, if applicable) and complete the steps above again; if needed, the official time in the United States can be found at http://www.time.gov/.

  1. To view the documentation of the changes and enhancements included in the update (release notes), click the View Latest Release Notes button.

  1. After viewing the release notes, to download the update, click the Download Latest Release button.

  1. The SAS Client Setup.exe file will start downloading to a set location.

  2. When the download is complete, a message will appear asking to install the update now; click Yes to continue installing the update, or click No to wait and install the update later.

Note:  If you click No to wait and install the update later, a message will appear noting the location for the SAS Client Setup.exe file; write down this specified location and then when desired, install the update by completing the following:  1)  be sure all users are logged out of the School Accounting System, 2) select Start and then Run, 3) key the appropriate path followed by "\SAS Client Setup.exe" (for example, enter c:\users\xx\AppData\Local\Temp\SAS Client Setup.exe if the path shown on the prompt was "c:\users\xx\AppData\Local\Temp"), 4) click OK, and 5) continue with Step 8 below.

  1. The screen for the installation wizard will appear and the update will be installed to the proper location.

9.  Once the installation is complete, the login screen will appear; log into the School Accounting System as normal.

10. After logging in, a prompt will appear stating the database must be updated; click OK.

Note:  An additional prompt may appear stating the database is in use and asking to disconnect the users.  If you are the only user logged into the School Accounting System, click Yes to continue; however, if there are users logged into School Accounting System, rather than click Yes to disconnect the users, instead click No and then notify the users to properly log out of the program.  Then when ready, log into the School Accounting System to continue the process starting with Step 10.

11. The Backup Database screen will appear; make a backup as normal.

Steps to Backup

Note:  A backup must be made or else the system will not continue with the update process.

12. Once the backup has been created, a screen will appear showing the progress as the system updates and then reindexes the database.

13. Once the update is complete, the login screen will appear; log into the School Accounting System as normal.

14. If the School Accounting System is networked, complete the items below on each additional workstation; otherwise, skip to Step 15.

Note:  If you click No to wait and install the update later, a message will appear noting the location for the SAS Client Setup.exe file; write down this specified location and then when desired install the update.

15. The new changes and enhancements included in the update will now be activated.

Note:  If your school district has the Web Link module and you edited the Web Link Setup Options in order to prevent users from logging into Web Link while installing the update, be sure to edit the options again to allow users to access Web Link (see Steps 1, 2, 2e, 2f, and 3  for Completing Web Link Setup Options).
