The Convert IDs to Alpha option changes IDs to alpha characters. The Convert IDs to Alpha option is available for use with employees, employer history, payees, received froms, ship to addresses, vendors, deductions, pay codes, and customers.
When converting employee, employer history, payee, received from, ship to address, vendor, or customer IDs to alpha, the user specifies which IDs to change (such as vendor IDs or employee IDs) and the number of characters (up to 10) to use for the IDs from the last and first names or legal business name. When converting deduction and pay code IDs to alpha, the system uses the first 10 characters from the description.
With the Convert IDs to Alpha option, the system uses only letters and numbers in the new IDs and disregards all other characters. For example, a vendor with the name of A-1 Supplies would have an ID defined as A1SUPPLIES if 10 digits were specified for the length to use from the legal business name. If a name or description has fewer characters than the length of the ID, the system only uses what is available. For example, a vendor with the name of Hyvee would have an ID defined as HYVEE even if 10 digits were specified for the length. If there are several IDs that would be duplicates because the names start with the same characters, the first record (sorted alphabetically) would have an ID defined with all the characters and the other IDs would be defined with the same first 9 characters and the last character is replaced with 1, 2, 3, 4, etc. For example, vendors with names all starting with American Association would have IDs (length specified as 10 digits) assigned as AMERICANAS, AMERICANA1, AMERICANA2, AMERICANA3, AMERICANA4, etc. When converting employee, employer history, payee, received from, ship to address, vendor, or customer IDs to alpha, the system disregards the word "The" if "The" is entered at the beginning of the company's name in the Legal Business Name field.
