Note: The following steps change a user who is assigned as an approver on previously submitted leave requests that are pending approval.
From the Payroll screen, select the Options menu and then Leave Request Options.
Note: The Leave Request Options option is only available to organizations that have licensed the Web Link module and is only accessible to supervisors.
At the Leave Request Options screen, select the Options menu and then Reassign Leave Request Approvers.
At the Reassign Leave Request Approvers screen, enter the ID of the user for the approver to be reassigned (replaced) in the Old Approver User ID field, or click the down-arrow button to select the correct one.
In the New Approver User ID field, enter the ID of the user to be assigned as the approver on the previously submitted leave requests in place of the other specified user, or click the down-arrow button to select the correct one.
Tip: If the user entered in this field is not currently set up in the User Security option with rights to approve leave requests in Web Link or Payroll, a message will appear after advancing from the field asking to add the rights at this time; click Yes to edit the rights for the user now, or click No to wait and edit the rights for the user later.
Click the Display button.
All the previously submitted leave requests that have not yet been approved (or rejected) and have an approval sequence assigned to the user specified in the Old Approver User ID field appear in the Pending Leave Requests to Reassign List. Select the leave requests to reassign by clicking the box for the Selected column to the left of the record. A checkmark will appear in the box if the leave request is selected. To select all the leave requests listed on the screen, click the Select All button located above the Pending Leave Requests to Reassign List.
Click the Execute button.
When prompted, click Yes to continue reassigning the approvers.
If designated to do so in the Email Manager option, notification emails for approval will be sent at this time to the appropriate users as based on the approval paths used with the leave requests, if applicable.
Note: If there were notification email messages that did not go through, a message will appear; click OK and then contact the Business Office in order to check the activity log file (System Log tab within the Activity Log option) and resolve the error(s). If an email is rejected, the rejection notice will be sent to the appropriate address for the designated email address in the Email Manager option.
If needed (and not already completed), also change the applicable approval paths to edit the approvers for new leave requests submitted in the future.
