The Asset File Maintenance option is used to view the assets currently tracked within the Fixed Asset Inventory module (those that were entered and posted from within the Add New Assets option). Within the Asset File Maintenance option, each asset has a record containing the location, classification, acquisition, depreciation, and disposal information, along with the supplementary information for the custom fields, if applicable.
Within the Asset File Maintenance, most of the basic information for an asset can be updated if needed, such as changing the location of the asset if the asset is permanently transferred to a new site, building, and/or room, and changing the classification or condition of the asset. Below are the fields that cannot be changed directly within the Asset File Maintenance option:
Disposed field, if tied to General Ledger entries (updated with the Process Asset Disposal option or the Undispose Assets (No GL) option)
Disposal Date field (updated with the Process Asset Disposal option or the Undispose Assets (No GL) option)
Disposal Type ID field (updated with the Process Asset Disposal option or the Undispose Assets (No GL) option)
Replacement Cost field (updated with the Process Replacement Cost option or the Adjust Replacement Cost option)
Depreciation field (updated with the Process Depreciation option, the Process Catch-Up Depreciation option (if posted to most recent month), or the Adjust Accumulated Depreciation option (if posted to most recent month))
Depreciation Accumulated field (updated with the Process Depreciation option, the Process Catch-Up Depreciation option, or the Adjust Accumulated Depreciation option)
