At the Web Link Login screen, enter your user ID for accessing Web Link (and the School Accounting System, if applicable) in the User ID field. The ID can be up to 10 characters long.
Enter your valid password for accessing Web Link (and the School Accounting System, if applicable) in the Password field. The password is case sensitive and can be up to 20 characters long.
Tip: If desired, click the Show/Hide Password button to view the text keyed into the Password field.
Note: If you forgot your password and are unable log into Web Link, click the "Lost your password?" link (located to the right of the Login button) to have the system reset your password and email you the new password (will be prompted to enter your User ID and an email address that must match one entered in the Employee File in the School Accounting System for your user). The "Lost your password?" link only appears if the Allow Password Retrieval field is selected in the Email Manager option in the School Accounting System. If the "Lost your password?" link does not appear on the login screen, a supervisor (in the Business Office) or Web Link administrator has the ability to reset your password from within the School Accounting System.
Click the Login button.
If multi-factor authentication is being used for logging into Web Link (as defined in the Web Link Setup Options in the School Accounting System), the Enter Passcode screen will appear, and if applicable, complete the screen as noted below; otherwise, if multi-factor authentication is not being used, skip to Step 5.
Enter an email address that must match one entered in the Employee File in the School Accounting System for your user in the Email Address field.
Click the Email Code button.
If the email address that was entered matches one in the Employee File in the School Accounting System for your user, a message will appear stating an email containing the passcode has been sent; click OK.
Note: The passcode that is emailed is only valid for 30 minutes.
Check your email and locate the message containing the authentication passcode for logging into Web Link.
Enter the designated passcode from the email in the Passcode field.
If the multi-factor authentication is required for new devices, the Remember this Device field appears. If applicable, to remember this device for your user so that a passcode will not have to be entered the next time you log into Web Link using this device (unless it has been longer than 60 days since you accessed Web Link on the device), select the Remember this Device field. A checkmark will appear in the box if the field is selected.
Note: The Remember this Device field only appears on the screen if Require for New Devices is selected in the Multi-Factor Authentication Passcode for Login field in the Web Link Setup Options in the School Accounting System.
Click the OK button.
Note: The Enter Passcode screen will not appear if the multi-factor authentication is required for new devices and the device has been saved for your user in the past (and it has been less than 60 days since you accessed Web Link on the device).
After successfully logging into Web Link, the Home screen appears.
Note: If you are unable to successfully log in and a message appears stating that your account is locked out, contact the Business Office to have a supervisor or Web Link administrator "unlock" your user ID; otherwise, repeat Steps 1-5 to try logging in again.
Tip: The system tries to automatically detect if you are accessing Web Link from a mobile device, such as a smart phone, and will display the login screen for running the condensed version of Web Link, if applicable. The condensed version of Web Link only includes the options for 1095s, Check History/Reimbursements, Leave Balance, Leave Request Entry, Leave Request Inquiry, and W2s, along with K12Docs, if applicable. If desired, to run the full desktop version instead of the condensed version, click the Desktop Version link. If the system does not detect that you are accessing Web Link from a mobile device and you wish to run the condensed version, enter "Mobile" into the school district's website address for Web Link, just prior to "/Login.aspx" (for example, "http://SchoolDistrictWebServer/WebLinkSQL/Mobile/Login.aspx"). Also, if the system does not detect a specific mobile device, access the About Web Link option from within the full desktop version and click the Software Unlimited, Inc., logo to view the details of your mobile device and submit that information to Customer Support.
If the system is set up to have user passwords expire (as defined within the System File in the School Accounting System), and your password will expire within 10 days or less, a "Password expires in # day(s)." link will appear on the Home screen, with the # being the number of days before your password expires. If applicable, click the link to change your password.
If the password does not meet the complexity as defined on the Password Policy screen in the System File in the School Accounting System, a message will appear stating the password must be updated; click OK and then complete the Change Password option.
