Note: Only the employee for whom the leave request was made can cancel or delete a rejected leave request through the Leave Request Entry option (or the Leave Request Entry - FMLA option, if applicable) following the steps below. Cancelling a rejected leave request will: 1) remove the amount from the Unsubmitted Entries total (appears when entering leave requests) and the Unsubmitted total (appears on the Leaves screen in the Employee File) for the applicable leave for the employee, 2) prevent the rejected leave request from displaying in the Leave Request Entry option (or the Leave Request Entry - FMLA option, if applicable) when searching, and 3) keep the history of the leave request in the system as an audit trail for its entry, rejection, and cancellation. Deleting a rejected leave request will: 1) remove the amount from the Unsubmitted Entries total (appears when entering leave requests) and the Unsubmitted total (appears on the Leaves screen in the Employee File) for the applicable leave for the employee, and 2) completely remove (delete) the leave request from the system (will not be any history of the leave request being entered and rejected).
Tip: Rejected leave requests can also be cancelled from within the Cancel/Remove Unprocessed Leave Requests/Substitutes option (by any user with the applicable rights to the option), if needed.
From the Payroll screen, select the Options menu, Leave Requests, and then Leave Request Entry (or Leave Request Entry - FMLA, if applicable).
Note: The Leave Requests submenu is only available to organizations that have licensed the Web Link module, and the Leave Request Entry - FMLA option is only enabled if the Allow FMLA Leave Requests field is selected on the FMLA tab within the Leave Request Options option.
If there are any unsubmitted leave requests previously entered and saved by the current user (or rejected or recalled leave requests not yet cancelled or deleted; or also any unsubmitted leave requests entered and saved for the current user by a different user with rights), the Leave Request Entry Search screen will appear. Select the rejected leave request to cancel or delete by double-clicking on the entry. If there are not any unsubmitted leave requests (or rejected or recalled leave requests not yet cancelled or deleted), the Leave Request Entry screen will appear immediately in order to enter a new leave request entry.
Tip: If needed, from the Leave Request Entry screen, click the Find button to select the leave request to cancel or delete.
To cancel the rejected leave request, complete the following:
Select the Cancelled field. A checkmark will appear in the box if the field is selected.
Click the Save button.
To delete the rejected leave request, complete the following:
Click the Delete button.
When prompted to delete the record, click Yes.
