Nebraska Annual Report - Test Upload

Note:  The Nebraska Annual Report - Test Upload option is available in General Ledger for Nebraska organizations to create a test file to upload to the state to verify account numbers prior to submitting the annual report.  The Nebraska Annual Report - Test Upload option should only be completed after doing all the steps for implementing the changes with the account structure and account numbers for compliance with the ESSA requirements, which includes completing the ESSA Account Number Changes option and doing crosswalks for the updated revenue, function, and object codes.

1.  From the General Ledger screen, select the Government Reporting menu and then Nebraska Annual Report - Test Upload.

2.  Enter the ending date of the fiscal year for which to generate the upload file in the Fiscal Year End field.  Use the mm/dd/yyyy format or click the down-arrow button to select the desired date.

Tip:  The date and time when the report was last generated (executed) for the specified fiscal year displays to the right of the Fiscal Year End field.

3.  Enter the number of the county for your school district or organization (up to 2 digits) in the County Number field.

4.  Enter the number for your school district or organization (up to 4 digits) in the District Number field.

5.  If your organization is an Educational Service Unit, select the Educational Service Unit (ESU) field.  A checkmark will appear in the box if the field is selected.

Note:  If the Educational Service Unit (ESU) field is selected, then the Building piece in expenditure account numbers will be zero filled, and any account numbers that are identical once the Building piece is zero filled will be combined together.

6.  Each of the funds defined by the state that are reported on the annual report and upload file appear in the Funds List.  The fund number, description, and which reports the funds are included for are listed for each fund.  For each of the funds, enter the actual fund number being used to track the specified fund under the Actual Fund column, or click the down-arrow button to select the correct one.  Up to 30 different fund numbers can be entered for a fund.  If more than one fund number is entered in the Actual Fund columns, the funds will be combined together and included under the one number on the report.  For example, Fund 10 may be used to track specific information, but on the annual report, this fund should be combined with Fund 01; therefore, under the Actual Fund columns for Fund 01, enter both 01 and 10.

Note:  Only the revenue and expenditure account numbers in funds specified here in the particular fiscal year will be included on the upload file, including the active account numbers with or without a balance and the inactive account numbers with a balance.

7.  Click the Save button.

8.  Click the Execute button to generate and create the upload file.

9.  At the Create Report File screen, select the desired path (drive and folders) for where to create the file and click the Save button.  The system will default to the location that was last specified.

Note:  Do not change the name of the file.

10. Submit the test upload file to the state following their instructions.

Note:  After uploading the test file to the state, if there are any account numbers that are invalid, crosswalk the invalid account numbers to ones that are acceptable by the state and then regenerate the upload file.  Repeat these steps until an upload file is submitted to the state without any errors or invalid accounts.

11. Click the X in the upper right-hand corner to close the annual report screen.
