From the Accounts Payable screen, select the Government Reporting menu and then Vendor 1099s.
The 1099 Search screen will appear listing all the Calendar Year Ending Dates for which there is data. Double-click on the Calendar Year Ending Date for the desired calendar year for which to edit the 1099s.
Note: The 1099 accumulations from all posted Accounts Payable check batches (and posted invoice batches for prepaid checks and automatic payments, if applicable) with a check date within the selected calendar year will be included on the 1099s. If applicable, the date the 1099s were last generated (or regenerated) for the particular calendar year appears in the Last Generated Date field. The check date from the latest check cycle batch or invoice batch (for prepaid checks and automatic payments, if applicable) in the calendar year appears in the Last Check Date field. If applicable, the latest date for when a check was voided in the particular calendar year appears in the Last Void Date field. If there is an unposted check cycle batch or invoice batch (for prepaid checks and automatic payments, if applicable) with a check date in the particular calendar year, a checkmark will appear in the Unposted Checks field; all check cycle batches and invoice batches for prepaid checks and automatic payments must be updated before the 1099s can be generated for that calendar year.
A message may appear stating that there is a check with a check date after the date the 1099s were last generated; if the message appears, click Yes to continue regenerating the 1099s if needed, or click No to open the 1099s without regenerating.
Note: If the 1099s are regenerated, any changes manually made to the 1099s will be lost.
The Vendor 1099s screen will appear.
Note: The system checks the 1099s for common errors, and if there are errors found, a screen will appear listing the errors; if applicable, correct the errors at this time. If a vendor has a negative 1099 total, an error message will appear in the status bar stating there are negative 1099s; the negative 1099s must be resolved at this time. To determine the vendor(s) with the negative 1099 total, click both the 1099-NEC tab and the 1099-MISC tab to see if the error message displays for either set of forms, and if the error message appears, click the Find button on the applicable screen and review the Total Payments column.
Click the 1099-NEC tab to view the 1099-NEC forms, or click the 1099-MISC tab to view the 1099-MISC forms, and then click the View Data tab.
On the appropriate screen (either the 1099-NEC or 1099-MISC screen), enter the ID of the vendor for the 1099 to edit in the Account Number field (box). If the ID is not known, click the down-arrow button or the Find button to select the correct one.
Note: To add a 1099 to the file, complete the necessary information for the appropriate vendor (the vendor must be defined in the Vendor File prior to entering the 1099 in the 1099 File). To remove a 1099 from the file (only applicable if the 1099 has not yet been submitted to the Internal Revenue Service), click the Delete button.
Make the desired changes to the vendor's information.
To correct the vendor’s accumulation or other 1099 information, click in the appropriate box and make the necessary changes. The amounts for accumulations can be up to 14 digits long (including the decimal point and comma(s) if applicable) and will be rounded to 2 decimal places by the system if capable. For 1099-NEC forms, the accumulations in Boxes 1, 4, 5, and 7 can be edited, and for 1099-MISC forms, the accumulations in Boxes 1-6, 8-12, 14-16, and 18 can be edited.
To correct the information in Box 2 (applicable for 1099-NEC forms only), Box 7 (applicable for 1099-MISC forms only), or Box 13 for FATCA Filing Requirement box (applicable for 1099-MISC forms only), click the box to select or unselect the item. A checkmark appears in the box if the item is selected.
Click the Save button.
Tip: To correct the vendor’s name, additional recipient’s name, address, or Federal ID, make the necessary changes in the Vendor File and then it will automatically update the 1099 File.
To edit the school district's address, click the General tab and make the necessary changes.

Note: If changes were made to a 1099 that had previously been submitted to the Internal Revenue Service, be sure to submit the corrected 1099 electronically at this time.
