Add the following custom fields to the Employee File:
Fiscal Agent County District (referenced custom field)
Career Ladder Stage (referenced custom field)
Note: If applicable, do not add a custom field for Career Ladder Stage if your school district is not a participating educator.
Highest Degree (referenced custom field)
Note: For those school districts with the Human Resources module, if designated, the system will look at the Education screen of the Employee File to determine the highest degree of the employee. Therefore, only define and complete a custom field for Highest Degree to override the information of an employee as entered in the Employee File, if applicable.
Extended Contract Duration (numeric custom field)
Note: If desired, do not add a custom field for Extended Contract Duration to instead have the system utilize the number of days entered in the Additional Days field on the Wages screen in the Employee File for the employee's contract selected as a Regular Term Salary pay code (when generating the MOSIS option) rather than entering the number of days in the custom field; if an employee has multiple Regular Term Salary contract pay codes, the system will use the one with the highest number of additional days.
Extended Contract Salary (numeric custom field)
Note: If desired, do not add a custom field for Extended Contract Salary to have the system calculate the salary paid for extended days on the employee's contract selected as a Regular Term Salary pay code (when generating the MOSIS option) instead of entering the amount in the custom field. If the custom field for Extended Contract Salary is not added, the system calculates the salary for the extended days by multiplying the number of days entered in the Additional Days field by the amount displayed in the Absence Per Day field for the employee's Regular Term Salary contract; if an employee has multiple Regular Term Salary contract pay codes, the system will calculate the salary amount for extended days for each applicable contract and then add the amounts together to use the total amount.
Late Hire Date (date custom field)
Early Termination Date (date custom field)
Comments (text custom field)
Note: If this step has already been completed, skip to Step 2.
Tip: Refer to the codes given with the instructions for the Missouri Student Information System issued by the Department of Elementary and Secondary Education when creating the IDs and values for the Fiscal Agent County District, Career Ladder Stage, and Highest Degree referenced custom fields as valid codes are required.
Complete the custom fields added in Step 1 for each applicable employee to be included in the MOSIS Educator Core Data file.
Note: If desired, use the Adjust Custom Fields option to complete the custom fields, or import a file containing this custom field information for the employees.
In the Employee File, bring up an employee and then click the Custom Fields tab.
Tip: To bring up the first employee for which to edit the custom fields, click the First Record button and then utilize the Next Record button to scroll through all the employees.
Enter the appropriate 6-digit county district code number for the school district or organization that provides the salary to the employee in the Fiscal Agent County District custom field, or click the down-arrow button to select the correct one. If the number is the same as the default (entered in the Default Value field for Fiscal Agent County District when completing the MOSIS option), leave this field blank.
Tip: SUI recommends to only complete this field for those employees whose contracts are paid by a different school district or organization. Then when completing the MOSIS option, the county district code number for your school district can be entered as the Default Value for Fiscal Agent County District for use with all other employees.
If applicable, enter the appropriate 1-digit code for the employee's career ladder stage in the Career Ladder Stage custom field, or click the down-arrow button to select the correct one. If the code is the same as the default (entered in the Default Value field for Career Ladder Stage when completing the MOSIS option), leave this field blank.
Note: The custom field for Career Ladder Stage may not have been added in Step 1 above if your school district is not a participating educator.
Enter the appropriate code for the highest degree earned by the employee in the Highest Degree custom field. If the code is the same as the default (entered in the Default Value field for Highest Degree when completing the MOSIS option), leave this field blank. For those school districts with the Human Resources module, only complete this custom field to override the highest degree of an employee as entered in the Employee File, if applicable.
If applicable, enter the number of days the employee has been contracted to work beyond the regular contract duration in the Extended Contract Duration custom field.
Note: The custom field for Extended Contract Duration may not have been added in Step 1 above in order to have the system utilize the number of days entered in the Additional Days field on the Wages screen in the Employee File for the employee's contract selected as a Regular Term Salary pay code (when generating the MOSIS option) instead of entering the number of days in the custom field; if an employee has multiple Regular Term Salary contract pay codes, the system will use the one with the highest number of additional days.
If applicable, enter the extra salary amount that an employee earns for working beyond the regular contract duration in the Extended Contract Salary custom field.
Note: The custom field for Extended Contract Salary may not have been added in Step 1 above in order to have the system calculate the salary paid for extended days on the employee's contract selected as a Regular Term Salary pay code (when generating the MOSIS option) instead of entering the amount in the custom field. If the custom field is not utilized, the system calculates the salary for the extended days on a contract by multiplying the number of days entered in the Additional Days field by the amount displayed in the Absence Per Day field for the employee's Regular Term Salary contract; if an employee has multiple Regular Term Salary contract pay codes, the system will calculate the salary amount for extended days for each applicable contract and then add the amounts together to use the total amount.
Only if the employee was hired after the start of the regular school term, enter the date the employee was hired in the Late Hire Date custom field. Use the mm/dd/yyyy format or click the down-arrow button to select the desired date.
Only if the employee's contract was terminated prior to the end of the regular school term, enter the termination date in the Early Termination Date custom field. Use the mm/dd/yyyy format or click the down-arrow button to select the desired date.
If applicable, enter any additional comments needed for the employee in the Comments custom field.
Click the Save button.
Verify that the following fields of information are also completed for the applicable employees on the other various screens of the Employee File:

Employment screen:
Social Security Number
Gender
Birth Date
Ethnicity
Years of Service (Internal)
Years of Service (External In State)

Regular Days (Note: Only verify for contract pay code(s) selected as a Minimum Salary Supplement pay code when generating the MOSIS option, if applicable.)
Additional Days (Note: Only verify for contract pay code(s) selected as a Regular Term Salary pay code when generating the MOSIS option if custom fields were not added for Extended Contract Duration and/or Extended Contract Salary in Step 1 above.)
If needed, complete the fields at this time for the applicable employees; then click the Save button.
Note: Only the first 10 characters of the Middle Name will be included in the MOSIS file. Also, the Years of Service field should reflect the total number of years of experience the employee has at your school district (in whole numbers) including the current school year.
Repeat Steps 2-3 for each applicable employee to be included in the MOSIS Educator Core Data file.
