The View Accounts Payable Assets option, accessed from within a batch in the Add New Assets option, is used to add assets posted from Accounts Payable (as entered in the Receiving or Invoices option) to Fixed Asset Inventory. When the View Accounts Payable Assets option is selected, a list of all the line items (assets) from posted invoices with the Asset field selected appear on the Add New Assets screen; the desired asset is then selected by double-clicking on the line to add the asset to the batch.
Each asset entry posted from Accounts Payable includes the asset tag number (if applicable), vendor ID, vendor name, chart of account number(s), asset description, quantity, unit cost, total cost, purchase date, invoice number, purchase order number, manufacturer, model number, serial number, and whether the asset was purchased new. Also, included but not displayed with the View Accounts Payable Assets option are the room, owner, department, and condition IDs. Once an item is selected to be added as an asset in the batch, the information included in the entry will default into the appropriate fields, but can be changed if needed. The asset entries posted from Accounts Payable continue to appear until the asset is added from within Add New Assets using the View Accounts Payable Assets option, the asset is deleted from the list, or the invoice from which the asset was posted is voided.
