Note: The following instructions are for regenerating the Vendor 1099s; if the 1099s are regenerated, any changes manually made to the 1099s will be lost, and if a 1099 that had previously been submitted to the Internal Revenue Service was changed when regenerating, be sure to submit a corrected 1099 electronically after regenerating (a previously submitted 1099 does not get deleted when regenerating).
Steps to Submit Corrected 1099s Electronically to IRS
Tip: Completing the Regenerate option will regenerate the Vendor 1099s for both 1099-NEC and 1099-MISC forms.
From the Accounts Payable screen, select the Government Reporting menu and then Vendor 1099s.
The 1099 Search screen will appear listing all the Calendar Year Ending Dates for which there is data. Double-click on the Calendar Year Ending Date for the desired calendar year for which to regenerate the 1099s.
Note: The 1099 accumulations will be generated from all posted Accounts Payable check batches (and posted invoice batches for prepaid checks and automatic payments, if applicable) with a check date within the selected calendar year. If applicable, the date the 1099s were last generated (or regenerated) for the particular calendar year appears in the Last Generated Date field. The check date from the latest check cycle batch or invoice batch (for prepaid checks and automatic payments, if applicable) in the calendar year appears in the Last Check Date field. If applicable, the latest date for when a check was voided in the particular calendar year appears in the Last Void Date field. If there is an unposted check cycle batch or invoice batch (for prepaid checks and automatic payments, if applicable) with a check date in the particular calendar year, a checkmark will appear in the Unposted Checks field; all check cycle batches and invoice batches for prepaid checks and automatic payments must be updated before the 1099s can be generated for that calendar year.
A message may appear stating that there is a check with a check date after the date the 1099s were last generated; if the message appears, click Yes to continue regenerating the 1099s and then skip to Step 6.
At the Vendor 1099s screen, select the Options menu and then Regenerate.
Note: The Regenerate option cannot be completed for calendar years prior to 2020.
When prompted to continue regenerating the 1099s, click Yes.
Once the 1099s have been generated, the Vendor 1099s screen will appear. All vendors (including inactive vendors) who have a 1099 accumulation in the specified calendar year will be included in the 1099 File and not just those vendors defined as a 1099 vendor.
Note: The system checks the 1099s for common errors, and if there are errors found, a screen will appear listing the errors; if applicable, correct the errors at this time. If a vendor has a negative 1099 total, an error message will appear in the status bar stating there are negative 1099s; the negative 1099s must be resolved at this time. To determine the vendor(s) with the negative 1099 total, click both the 1099-NEC tab and the 1099-MISC tab to see if the error message displays for either set of forms, and if the error message appears, click the Find button on the applicable screen and review the Total Payments column.
Tip: If a vendor has a 1099 accumulation but the Federal Form Type and Federal Form Box ID fields were not completed in the Vendor File, the accumulations posted to Box 1 on the 1099-NEC form.
If necessary, make any corrections.
Tip: If desired, utilize the Adjust 1099 Amounts option to edit the 1099 accumulations for a vendor and then regenerate the 1099s.
