Note: The Manage Calendar option is used to add, edit, or delete events (for example, holidays) on the calendar that displays within the various leave request options; leave request entries do not display within the Manage Calendar option.
From the Payroll screen, select the Options menu, Leave Requests, and then Manage Calendar.
The Manage Calendar screen appears.
Tip: The calendar automatically displays for the current date. If desired, use the month thumbnails located to the right of the calendar to toggle to different months, and then select a date within a desired month to display in the calendar or click the Today button to view today's date in the calendar. To change how the calendar is viewed (by month, week, or day), click the Month, Week, or Day tab located in the top left corner of the calendar; by default, the Month tab is selected.
To add an event to the calendar, double-click on a date and then complete the Event Details screen as follows:
Enter a description of the event in the Event Name field. The description can be up to 40 characters long.
Enter the starting date of the event in the Start Date field. Use the mm/dd/yyyy format or click the down-arrow button to select the desired date. The selected date appears by default, but can be changed.
If applicable, enter the starting time for the event in the Start Time field. Use the hh:mm AMPM format (or hh:mm if military time is used). This field is disabled if the All Day field is selected.
Note: The colon does not have to be entered between the hour and the minutes; for example, enter 8 o’clock as 800 or 0800. Also, the AM or PM does not have to be entered; if using regular time (not military time), the hours specified in the AM Range field in the Leave Request Options option will default to AM while the other hours will default to PM. After advancing from the field, the time will be formatted to regular or military time as specified in the Time Display field in the Leave Request Options option; for example, if Regular is selected in the Time Display field and 1400 (or 14:00) is entered, the system will convert it to 2:00 PM.
If the event is for the full day, select the All Day field. A checkmark will appear in the box if the field is selected.
Enter the ending date of the event in the End Date field. Use the mm/dd/yyyy format or click the down-arrow button to select the desired date. The selected date appears by default, but can be changed.
If applicable, enter the ending time for the event in the End Time field. Use the hh:mm AMPM format (or hh:mm if military time is used). This field is disabled if the All Day field is selected.
Note: The colon does not have to be entered between the hour and the minutes; for example, enter 8 o’clock as 800 or 0800. Also, the AM or PM does not have to be entered; if using regular time (not military time), the system will default to use AM or PM based on the nearest one within a 12-hour period from the specified Start Time. After advancing from the field, the time will be formatted to regular or military time as specified in the Time Display field in the Leave Request Options option; for example, if Regular is selected in the Time Display field and 1400 (or 14:00) is entered, the system will convert it to 2:00 PM.
If desired, to change the color used to display the event on the calendar, enter the Red, Green, and Blue color levels for the desired color to use in the Event Color field; for example, enter 0, 0, 128 to use Navy. If the Red, Green, and Blue color levels are not known, click the down-arrow button for the Event Color field and click the desired tab (Custom, Web, or System) for which color grouping to use; then select the desired color.
Note: If the event color is changed, click the Reset button located to the right of the Event Color field to set the color back to the original default setting.
Click the Save button.
To change (edit) an event on the calendar, toggle to the desired date and then double-click on the desired event to edit. The selected event will appear on the Event Details screen; make the desired changes and then click the Save button.
To delete an event on the calendar, toggle to the desired date and then double-click on the desired event to delete. The selected event will appear on the Event Details screen; click the Delete button and then click Yes when prompted to delete the record.
If desired, to print the calendar, click the Print Calendar button.
When finished, click the X in the upper right-hand corner to close the Manage Calendar screen.
