The instructions below are for generating the current format of the North Dakota Teachers Retirement Report. Refer to the North Dakota Teachers Retirement Report - New Format topic for instructions on using the new format, which is expected to go into effect at some point during the last quarter of 2024.
Note: If you have any rehired, retired employees, define a referenced custom field for Rehired Retiree (with Y for Yes defined as the referenced value); then complete the custom field in the Employee File for the applicable employees by entering Y in the field so that the system will allow the hours worked to go beyond 700 hours if needed.
From the Payroll screen, select the Government Reporting menu and then North Dakota Teachers Retirement Report.
At the North Dakota Teachers Retirement Report screen, click the Report Options tab and complete the information.
Enter the month for which to generate the report in the Ending Month field. Use the mm/yyyy format or click the down-arrow button to select the desired date. The default of the most recent (greatest) month used as the Processing Month in Payroll will appear, but can be changed.
Enter the number for your school district (up to 5 digits) in the Employer Number field.
Enter the correct model number (0-3) utilized by the school district in the Retirement Model field, or click the down-arrow button to select the correct one.
Click the down-arrow button for the Rehired Retiree field to select the correct referenced custom field defined in the Employee File to track if the employee is a rehired retiree.
If you expense payroll as part of the end of fiscal year process, select the Subtract Expensed field if the report is being generated for a month in which the payroll had previously been expensed (for example, if the payroll had been expensed in June, select this field in July and August). A checkmark will appear in the box if the field is selected.
If you expense payroll as part of the end of fiscal year process, select the Include Expensed field if the report is being generated for the same month in which the payroll was expensed (for example, if the payroll was expensed in June, select this field in June). A checkmark will appear in the box if the field is selected.
Select the Include Last Date Worked and Hours field to generate the last date worked and hours worked for all employees as part of the retirement report at the end of the fiscal year. In most cases, this field should only be selected when generating the report in June. A checkmark will appear in the box if the field is selected.
Note: If an employee has a status of Deceased or Terminated, the last date worked and hours worked will generate and print on the retirement report automatically even if this field is not selected.
Click the Save button.
Click the Pay Groups tab to select the pay groups to include on the retirement report.
Note: The pay groups defined (within the Pay Group File) to be included on the North Dakota Teachers Retirement Report are selected by default, but can be changed if needed; if changes are made here, the changes will also be reflected in the Pay Group File.
To select a pay group, click the box under the Selected column to the left of the pay group ID. A checkmark will appear in the box if the pay group is selected.
To select all of the pay groups, click the Select All button located above the Pay Groups List.
Click the Save button.
Click the Deductions tab to select which deductions are set up for the various retirement options.
Tip: To lock a column in place so that it does not move while scrolling the information in the grid, click the pushpin located to the right of the desired column heading. Once the pushpin has been selected for a column, the pushpin will appear vertical to indicate the column is locked, and the locked column will move to the left and appear in front of all unlocked columns. To unlock a column, click the pushpin again; the pushpin will appear horizontal to indicate a column is unlocked. If the screen is closed and re-opened, or the Save button is clicked, the settings for the pushpins will go back to the defaults.
For each retirement deduction, enter which share (Employee, Employer, or Both) of the deduction to include on the report in the field under the column for the appropriate category (+Taxed, +Tax Deferred, +Employer, -Taxed, -Tax Deferred, and -Employer), or click the down-arrow button in the field under the appropriate category to select the correct one.
Click the Save button.
If needed, click the Adjust Hours Worked tab to adjust the number of hours worked for employees who were terminated during the current fiscal year, or to adjust the number of hours worked for all employees for the current fiscal year (only when generating the retirement report at the end of the fiscal year).
The payroll earnings information for the employees for the specified month (or current fiscal year, if the Include Last Date Worked and Hours field is selected on the Report Options screen) appears in the Adjust Hours Worked List with each pay code (and check date) listed as a separate entry.
To make an adjustment, click in the Hours Worked field (column) for the desired entry and then key the new number of hours worked.
Note: The hours worked entered here will be rounded to 2 decimal places.
Click the Save button to save the changes.
Repeat these steps until all adjustments have been made.
The retirement report can then be generated to paper or a file (or both).
Printing to Paper:
From the North Dakota Teachers Retirement Report screen, select the Reports menu and then select the desired report: ND TFFR Report and ND TFFR Totals.
Creating a File:
Complete the Create Report File option.
Note: The Create Census Data Audit File option is utilized when being audited by the Retirement Office in order to create a file of all employees paid in a fiscal year (including those without retirement).
Steps to Create a Census Data Audit File
After the retirement report is printed and the file created, click the X in the upper right-hand corner to close the screen.
