A leave request can be recalled from within the Leave Request Entry option (or the Leave Request Entry - FMLA option, if applicable) or the Leave Request Inquiry option.
Note: A leave request (or FMLA leave request, if applicable) can only be recalled by the employee for whom the leave request was made. Also, only leave requests (or FMLA leave requests, if applicable) with a status of Pending, or those with a status of Approved which have not been brought into a batch of Employee Absences or Pay Period Entries (or processed on the FMLA screen in the Employee File, if applicable), can be recalled.
Recalling a Leave Request from within the Leave Request Entry Option (or the Leave Request Entry - FMLA Option, If Applicable):
Select the Employee Information menu, Leaves, and then Leave Request Entry (or Leave Request Entry - FMLA, if applicable).
If there are any unsubmitted leave requests previously entered and saved by the current user (or rejected or recalled leave requests not yet cancelled or deleted; or also any unsubmitted leave requests entered and saved for the current user by a different user with rights), the Leave Request Search screen will appear; click the Cancel button. If there are not any unsubmitted leave requests (or rejected or recalled leave requests not yet cancelled or deleted), the Leave Request Entry screen will appear immediately.
Click the Recall Submitted Leave button.
At the Search screen, click once on the leave request to recall and then click the Select button. By default, only the applicable leave requests with a start date equal to the current date or in the future appear, but the filters can be changed if desired.
The detailed information for the selected leave request will appear in the Leave Request Inquiry Detail screen (or Leave Request Inquiry Detail - FMLA screen, if applicable).
Click the Recall button to recall the leave request.
Note: The Recall button is only enabled if the leave request is for the employee tied to the user currently logged into the system and if the leave request has a status of Pending or Approved. If the leave request has a status of Approved and had been brought into a batch of Employee Absences or Pay Period Entries (or processed on the FMLA screen in Employee File, if applicable), the leave request will not be able to be recalled (if applicable, after clicking the Recall button, a message will appear stating the leave request cannot be recalled; click OK).
When prompted to recall the leave request, click OK.
If designated to do so in the Email Manager option, notification emails for the recalled leave request will be sent at this time to the appropriate users (approvers) as based on the approval path for the leave request.
Note: If there were notification email messages that did not go through, an error will be tracked in the Activity Log option (on the System Log tab) in the School Accounting System and an alert will appear on the main School Accounting System screen. If an email is rejected, the rejection notice will be sent to the appropriate address for the designated email address in the Email Manager option.
After the leave request is recalled, it will display on the screen within the Leave Request Entry option (or the Leave Request Entry - FMLA option, if applicable) as an unsubmitted leave request; change and then resubmit the recalled leave request, or delete the recalled leave request.
