The Iowa BEDS Report option in Payroll is used by Iowa school districts to create a file to import data when preparing the Fall report of the Basic Educational Data Survey (BEDS) submitted to the Iowa Department of Education.
The Iowa BEDS Report option, which allows data to be entered and maintained from year to year, generates the demographic records for the applicable employees. The information generated for each employee demographic record includes the employee’s first and last name, folder number, base compensation, extra compensation, benefit amounts, gender, and other additional pieces of information, such as race/ethnicity, highest degree attained, etc. Once the Iowa BEDS Report option is generated, each employee’s demographic information can be verified and then edited, if needed. Within the Iowa BEDS Report option, the program record and assignment record can also be entered and tracked for each employee. The program record includes the position of the employee, the appropriate program for which the employee works, and the FTE for the position/program. The assignment record includes the school, assignment code, applicable grades, number of sections, and other information for sharing, at risk assurance, special education, and paraprofessionals.
When needed, the files containing the BEDS data or the salary only data can be created from within the Iowa BEDS Report option and uploaded into the state's website.
Note: Follow the steps on the Iowa BEDS Report Completion Checklist to ensure all steps are completed properly for the Iowa BEDS Report option.
