From the General Ledger screen, select the Data Entry menu and then Cash Receipts.
The Batch Search screen will appear.
Select the batch which contains the cash receipt to correct by double-clicking on the desired batch description.
The Cash Receipts screen will appear for the selected cash receipts batch. The description for the selected batch will appear in the title bar, and if the Recurring Entries field is selected for the batch, Recurring Batch will appear after the batch description.
On the Individual Entry screen (tab), double-click the cash receipt to edit from the entries that appear in the Batch Entries List, or click the Find button to select the desired cash receipt to edit.
Make the desired changes to the cash receipt.
For the line items in the Detail Information section, complete the blank line (indicated with an asterisk) at the bottom of the list to add a new line item, or click the Delete button located to the left of the desired line item to delete one (when prompted to delete, click Yes).
If the total amount of the cash receipt changed but the Cash Receipt Amount field was not updated (and the Automatically Calculate Totals on Cash Receipt Entry field in the General Ledger System File is not selected), click the Calculate button for the Cash Receipt Amount field at this time to have the system automatically add up the total of all the detail line items and display the updated total.
If the data in the Received From ID field or the Cash Receipt Amount field was changed, and the received from is defined with default account numbers with distribution percentages, a prompt appears asking to delete all the detail lines and re-add them based on the designated distribution percentages; click Yes to have the system re-do the detail lines with the correct amounts calculated in the Cash Receipt Detail Amount field as based on the distribution percentages, or click No to not re-do the detail lines and manually change the Cash Receipt Detail Amount field for the lines as needed.
After all the changes have been made, click the Save button.
Tip: If desired, cash receipts can also be edited directly in the Batch Entries List (grid) by clicking the Grid Entry tab and then making the desired changes to the fields (columns) of information; however, if a cash receipt (cash receipt key) is entered with multiple detail lines, the lines will be disabled (gray) in the list on the Grid Entry tab and cannot be changed; if needed, changes would need to be made on the Individual Entry tab.
