Note: The instructions below are for viewing employee documents from K12Docs using the View/Add File Documents option in Web Link. In order for the View/Add File Documents option to be available in Web Link, a user must be defined with rights to view/add file documents and have the Employee ID field completed (within the User Security option in the School Accounting System); and also the Web Link Setup Options must be completed to allow access to the desired subfolders within the SUI_PR_Employees application in K12Docs.
Select the Employee Information menu, Personal Information, and then View/Add File Documents.
At the View/Add File Documents screen, enter the name of the subfolder containing the document to view in the Subfolder to View field, or click the down-arrow button to select the correct one.
Tip: If using the down-arrow button to search for the subfolder, the number of documents included in a subfolder for the user (employee) appears in parenthesis behind the subfolder name.
Click the View Documents button to see a list of the documents within the selected subfolder.
The View Documents screen will appear listing all the available documents for the user (employee).
Select the document to view by: 1) double-clicking on the desired document, 2) clicking on the document once and then clicking the Select button, or 3) clicking on the document once and then pressing the Enter key.
Note: Versioned documents (as defined in K12Docs or GX) cannot be viewed from within the School Accounting System or Web Link. If a selected document is versioned, a prompt will appear stating the document must be accessed from K12Docs or GX; click OK.
The document will appear in the K12Docs preview screen and can be printed by clicking the Print button, if desired.
When finished, close the K12Docs preview screen.
After viewing all the desired documents within the selected subfolder, either click the Cancel button or the X in the upper right-hand corner to close the View Documents screen.
